Administrative Coordinator – Athletics (Fixed-Term for 3 Years)

New York University Abu Dhabi (NYUAD) seeks to appoint a Administrative Coordinator, reporting to the Director of Athletics.

The Administrative Coordinator responsibilities will reach across all aspects of the Department of Athletics, ensuring adherence to all department and university policies, procedures and promoting and enhancing the administration of the department through positive collaboration with key constituents.

The Coordinator will support the department in a variety of capacities, including but not limited to supporting the scheduling and calendar management processes, data collection and analysis, budgetary tracking and vendor payments, coordinating student employment opportunities, stakeholder communications, logistics coordination, resource development, communication with campus service providers, compliance with regulatory and university business processes and other operational deliverables key to the departments functions.

On occasion the coordinator will be required to support the functions of the broader Student Affairs division also. The position may require evening and weekends commitments during the academic year.

The duties of this role may at times involve being exposed to data that may be sensitive in nature and require confidentiality.

Key Responsibilities:

  • Data analysis and reporting; Using new and existing data sources, conduct data analysis in order to create comprehensive reports and presentations demonstrating the areas significant impact which can also be used to guide future work, generate opportunity for future collaborations and can be shared with stakeholders. The post holder will also support the collation of student and community feedback
  • Scheduling and Operational functions; Support the development of the departments programming and event schedules, manage the departments calendar, schedule training dates, organize meetings and support the departments operational software management
  • Administrative duties; Include but not limited to, coordinating student employment opportunities across all athletics functional areas, supporting the departments booking and reservation system and other utilized software functionality, general communications with university departments and stakeholder groups, organizing travel logistics, coordinating focus groups, supporting training development and delivery and providing general administrative support that ensures efficient operations, maintains records and materials accurately according to relevant policies and processes
  • Finance; support day to day budget tracking, vendor management and payment
  • Promotion and communication; The position will support the flow of information across the department, university and other stakeholders through business communications and other materials such as infographics and presentations
  • The Coordinator will also serve as an active contributor to University and Student Affairs
  • Division-wide programs, including admissions events, new student orientation, student leadership training, athletic instructor and coaching programs, and more. This role may require regular evening and/or weekend activities throughout the academic year

Qualifications

Required Education:

  • Bachelor’s Degree
  • Sports/ Fitness/ Health/ Mindfulness certifications

Preferred Education:

  • Bachelor’s Degree in Athletic Administration or Sports Management
  • Certification in Office Administration or Project Management
  • Sports and/ or fitness and health certifications

Required Experience:

  • Strong written and oral communication skills
  • Ability to prioritize and to handle multiple projects on tight deadlines
  • Minimum of 2 years’ experience in a comparable position
  • Proficiency in operating all systems on Google and Microsoft
  • Advanced data management skills; ability to use and adapt spreadsheet software for accounting and reporting purposes
  • Professional maturity and judgment, including exceptional discretion and a capacity for resourceful initiative in a team context
  • Ability to work nights and weekends over the academic year
  • Excellent presentation, written, and oral communication skills
  • Good judgment, discretion, independence, and initiative
  • A capacity to work collegially and collaboratively with diverse stakeholders
  • An ability to prioritize and handle multiple projects on tight deadlines, organized work habits, consistent accuracy, and attentiveness to detail

Preferred Experience: 

  • Experience in university athletics administration
  • Possess a high level of motivation
  • Ability to work well in a team and in an unsupervised environment
