Administrative Supervisor

Ensures the optimal utilization of Fugro’s facilities. Assesses and evaluates the physical space requirements of the organization and recommends plans to meet needs. Ensures proper functioning of facilities through ongoing inspection and maintenance

Job responsibilities:

Designs and implements office policies by establishing standards and procedures, measuring results against standards, and making necessary adjustments.

Completes operational requirements by scheduling and assigning, training and supervising employees; following up on work results.

Plan, Organize, Supervise and control various office functions, including dinners, annual events (reservations, menu, invitations, etc.)

Maintenance of office and kitchen supplies

Analyze, supervise, and streamline office operations and procedures such as supply requisitions, access controls, gate passes etc

Responsible for the overall office infrastructure, including renovations, relocations, and maintenance

Manage office supplies, equipment, furniture, computer and telephone services, and product orders

Administer office/administration budgets, including expenses and supplies

Provide comprehensive administrative support to the regional management team with their travel plans, (transportation and accommodation) calendar management

Maintain office efficiency by planning and implementing office systems, layouts, and equipment procurement.

Maintains office staff by recruiting, selecting, orienting, and training employees.

Maintains office staff job results by coaching, counseling, and disciplining employees, and planning, monitoring, and appraising job results.

Achieves financial objectives by preparing an annual budget, scheduling expenditures, analyzing variances, and initiating corrective actions.

Contributes to team effort by accomplishing related results as needed

Manage contract and price negotiations with office vendors, service providers and office lease in coordination with procurement department

Liaise with facility management vendors, including cleaning, catering and security services

Provide general support to visitors

You bring (qualifications & experience)

3 – 8 years of Working expereince, with atleast 3 years in office management

Strong reading, writing and communication skills in English

Results driven

Ability to be flexible and supportive to both colleagues and stakeholders

Highly organised
