Colleague Experience Coordinator

Job Description
To provide operational support for all the new hire processes including: onboarding queries, Coordination/communication with new joiner, Process the documents for government formalities, Co-ordinate joining formalities i.e. hotel booking e – ticket and corporate Induction. etc., advice on policy and labor law etc. in collaboration with LM’s, HRBPs and different stakeholders across Miral Experiences and Miral Destinations. Creates a positive experience for new joiners when facilitating our onboarding procedures for new hires. Responsible for communicating company and position details to new hires before their start date, gathering necessary paperwork, arranging flights, accommodation and planning their first days.

Job Scope

Pre-boarding

Make pre-offer calls to selected external candidates and educate them on requirements.
Create employment contract, relevant offer letters and raise workflows in HRMS for both internal and external candidates.
Transfer internal hire files to Service Centre for transfer and/or promotion meetings once fully approved.
Follow-up with new hires to maintain colleagues’ file with required documents.
Prepare employment permit application to apply for visas for new colleagues.
Organize relocation for overseas, which includes booking flights, hotel or company accommodation and arranging for airport pick-ups.
Update all necessary information into ATS for all external and internal hires, ensuring data integrity.
Manage all cases within SLAs and keep track of turnaround times.
Collaborate effectively with departments within HR and the wider business to ensure a smooth and seamless transition from candidate.
Admin/Projects

Raise PRs for payment towards the placement of external candidates through agencies, renewal of job boards, independent subscriptions to print or online media, suppliers of recruitment marketing collateral, etc.
Keep track of PRs and ensure payment is released by the relevant Finance teams in a timely manner.

Onboarding

Distributing information to people of all levels
Ensures colleague handbooks, documents and processes are clear and up to date.
Prepares onboarding kits.
Drafts emails and communications during the pre-boarding process
Ensures that clear and lines of communication are open and available to incoming joiners.
Acts as the first point of contacts for new joiners and their families and explains and guides them through the process
Consults with travel agents, accommodation, and transport teams to ensure a smooth arrival.
Co-ordinates with internal stakeholders to arrange colleague inductions (L&D, DTD, Security etc.)
Welcomes new joiners on arrival and introduces them to their teams.
Gathers relevant paperwork and consults with HR Services team to arrange processing of documentation.
As an ideal candidate, you will need to have:

Essential:

​Higher Secondary or equivalent
One to two years of work experience in Talent Acquisition or Human Resources. Alternately, one to two years in a guest-facing or customer service role.
Excellent English skills – both written and spoken
High level of proficiency in written and verbal communication
Excellent attention to detail
Strong People skills
Well-organized and proficient in managing multiple priorities.
Ability to work in a fast-paced, fun, and busy environment managing multiple deadlines.
Empathetic and approachable
Experience in dealing with sensitive and confidential information.
Desirable:

Working knowledge in any applicant tracking system
Experience in working with Oracle Fusion or similar HR Systems
Knowledge of any additional languages would be an advantag
