Event Advisor – Arab Lawyers Forum [Contract role]
JOB DESCRIPTION
Role: Events Advisor – Arab Lawyers Forum
Requirements:
- Must be detail-oriented and have strong multi-tasking, time management and organization skills as well as the ability to work under pressure within tight deadlines.
- Good relationship development and people skills
- Highly flexible with a positive attitude and the desire to progress and learn.
- Outstanding interpersonal, written, and verbal communication skills (English and Arabic)
- Must be proficient in Microsoft Office packages.
Primary Job Purpose: Assist with the co-ordination and running of the Arab Lawyers Forum
Duties & Responsibilities:
- Liaise internally with lawyers to identify new target contacts and firms from all our jurisdictions to attend and support ALF
- Draft and translate letters in Arabic to government entities across the Middle East to increase buy-in and support of ALF
- Assist with issuing official Visa letters from the firm to perspective attendees and /or speakers (if required)
- Proactively reaching out to potential sponsors to invite them to be part of ALF
- Support with the on-boarding process for sponsors and regularly communicate with their key contacts to ensure all the terms of their sponsorship are fulfilled.
- Event Tracking
- Manage queries from the ALF events inbox ensuring emails are dealt with in a timely manor.
- Responsible for tracking and updating the master target list with suitable contacts and keeping a central record.
- Assist with processes invoices for approval and tracking events, expenses, and budgets.
- Responsible for keeping a central record of all Sponsors and partners of ALF and their respective
- Attend weekly ALF project team meetings/calls and track all event tasks in the MS Planner
- Draft meeting minutes for all ALF committee meetings and review with ALF Project team before circulating with committee members.
- Assist with managing content for ALF social media channels (Twitter and LinkedIn)
- Work with sponsors to promote the event on their respective social channels.
- Assist with auditing the ALF website and coordinate with the web agency to maintain the most up-to-date information on the site.
- Work closely with the Head of Marketing to profile ALF beyond the conference and explore associated projects like “young Arab Lawyer” initiative.
- Work with the Head of Marketing to explore the possibility and options of using the ALF platform to host ALF awards to recognize all Arab lawyers across the region.
