Executive Assistant Government Affairs & Policy Emerging Markets

Primary location: Dubai

The EA will work with the cross-sector GA&P Senior Director to drive flawless execution of cross sector global, cluster and in-country strategic programs. They will manage the project scope, timelines, budget, interdependencies and risks. The EA reports directly to the cross sector Senior Director Emerging Markets, Government Affairs & Policy – EMEA.

Job Responsibilities:

  • Anticipate the executive’s needs and collect/prepare information for the executive
  • Exercise sound judgment and discretion while independently assessing and resolving complex situations
  • Communicate effectively and articulately with all levels of the organization
  • Demonstrate a high level of flexibility, professionalism, along with the ability to manage and respond to multiple priorities and shifting demands while maintaining a sense of urgency, confidentiality, and a high level of intensity that the Government Affairs & Policy organization requires
  • Perform advanced and complex administrative responsibilities, i.e., independently compose correspondence based on knowledge of the executive’s intentions
  • Prepare documents of a highly confidential and sensitive nature, maintain multiple complex and shifting calendars, execute rigorous follow-up by ensuring issues are resolved and projects are completed
  • Manage the logistics of meetings and events, including: complex domestic and international travel arrangements/itineraries, coordinating with local teams and offices on the ground – Venue sourcing and set-up – Collaborating with internal teams to create and distribute pre-reads and training materials – Tracking communications and gathering analytics -Tracking and monitoring budget, costs and materials – Strategic Project Management
  • Manage assigned projects, conduct project reviews, monitor dependencies, report status, and escalate issues to the Senior Director, Emerging Markets Government Affairs & Policy – EMEA

.•Ensure standardized deliverables across each phase of the project lifecycle

.•Provide program updates and metrics for input into leadership dashboards to ensure alignment and execution discipline.

  • Work closely with Business Partners, in-country and cluster to meet ongoing needs and requirements
  • Identify and implement appropriate improvements to operational and knowledge management processes (e.g. project plan templates, status reports, calendar cycles etc)


About the candidate:

  • Associate’s or Bachelors Degree is preferred
  • 7+ years of professional experience
  • Ability to drive business, technical and/or organization direction, strategic alignment, coordination and focus
  • Exhibit a driving commitment to change management, with excellent people/relationship skills in influencing
  • Ability to switch between big picture and attention to detail required
  • Strong interpersonal skills and a demonstrated ability to collaborate and partner well with internal and external stakeholders, with peers, leaders and senior executives within a matrix environment
  • Ability to work autonomously and manage scenarios with ambiguity – providing clarity of direction and purpose when not evident
  • Must be a self-starter, possess strong organizational skills and be detail oriented with the ability to work under pressure
  • Possess a full understanding of the Enterprise functions, practices, policies and procedures
  • Must possess strong organizational skills and the ability to be extremely flexible while managing conflicting, shifting, and competing priorities
  • Demonstrated ability to anticipate issues that may arise while taking initiative and acting with a high level of sense of urgency is required
  • The ability to manage various matters with a high level of confidentiality is required. Highly discreet when working with confidentiality and sensitive data
  • Proactive in networking to obtain the relevant information/support
  • Ability to prioritize and anticipate
  • Good listening skills and ability to pragmatically approach solution
  • Expert level proficiency with Microsoft Office programs (Word, Excel, PowerPoint, Outlook, etc.)
  • Proficiency in E-marketplace/Ariba, Concur, CTO and Workday (For internal candidates)
  • Excellent oral and written communication skills required with advanced written and spoken English required
