Responsibilities

  • Handles all executive assistant and administrative support to Senior Vice President, SEA with a high level of independence, initiative, discretion, accuracy, and attention to detail.
  • Provide admin assistance for about 50 pax in Advisian and Intecsea to provide efficient and effective admin and facilities support in alignment with business strategy and budget.
  • Travel arrangements for the Senior Director, Operations, Advisian, Intecsea and New Energy and assistance to his direct reports or corporate visitors if required which includes logistics like ticketing, hotel bookings and arranging for local transport.
  • Supporting and maintaining documentation and filing, with reference to confidential issues.
  • Conduct research, collect, and analyze data to generate high-quality and technical reports and presentation material.
  • Ownership of Team meetings and All Hands meetings, including scheduling dates/times, room reservations, agenda development, recording, transcribing, and distributing minutes of meetings.
  • Responsible for logistics of meetings that may include venue contract negotiation, agenda development, catering, and stewardship to keep within budget.
  • Performs other duties as assigned.

  • Bachelor’s degree, diploma or equivalent.
  • Possess administrative experience supporting executives and is professional, self-motivated, highly organized, and independent while operating with strong discipline to support Senior Management and team.
  • Demonstrated ability to effectively meet deadlines in a fast-paced environment and work well under pressure with a multitude of competing priorities while maintaining a high level of quality.
  • Manage a demanding workload, and balance self-managed tasks/projects along with management support needs. Thoroughness and follow-up, strong organizational skills; must be able to set priorities and work independently.
  • A good team player with the ability to interact effectively with management and employees at all levels. Self-starter with a strong sense of ownership and involvement.
  • Candidates must have excellent problem and solving skills, strong verbal and written communication skills.
  • Flexibility in managing occasional workload peaks.
  • Proficient in Microsoft Applications (Excel, Powerpoint, Word). Knowledge of Sharepoint, Oracle and Successfactor would be an advantage.
