HR Trainee
Position Purpose:
The HR Trainee is responsible for managing the implementation of HR Admin activities in line with Sephora HR process including but not limited to following Pre and onboarding processes, HR Services, Employees’ contract renewals and leave records.
Key Accountabilities:
Pre and Onboarding
- Assist in sourcing, screening, recruiting pre and onboarding of Retail UAE nationals.
- Attend to all queries and requests of Retail UAE nationals in a timely manner.
- Shadow People Partners in stores’ visits.
- Liaise with the applicants on completing the necessary recruitment documents required for issuing the employment contract.
- Ensure relevant and required staff documents are scanned and placed on the sharing folder/HRMS at Sephora.
- Coordinate with the applicants for medical check and visa processing.
- Guide new joiners on joining their stores.
- Assist the People Partners in filling the recruitment tracker and arranging for interviews with respective panel accordingly.
HR Operations & Services:
- Coordinate and provide all types of HR services, letters, and NOC, etc. to employees.
- Manage the order and distribution of employees’ uniform, Admin Executive Cards/Pass and track the distribution and losses of employee badges.
- Collect Leave requests, save in the employee e-folder and update the tracker.
- Assist the HR team in tracking and saving any relevant employee document in their respective files.
- Track leave utilization and manage leave reports and deduction on absenteeism and sickness and discuss with People Partners for salary deduction and commission purposes.
- Validate all info from Stores Attendance Sheet to ensure all leave types have been applied for and absenteeism is captured in the deduction list.
HR Projects & Others:
- Track all probation period and ensure they are closed on time by completing the probation period assessment form and confirmation/probation extension letter is disbursed from HR to the employee accordingly whether the probation is extended, or the employee is confirmed.
- Assist the HR team in arranging venue & hotel booking, advertisements, etc.
- Assist HR team in any admin activities as requested.
- Cover the duties of HR Coordinator in her absence.
Skills, Experience and Personality:
- 0 to 2 years of experience in HR Operations role including HR Services & Employee Deployment.
- Desired experience in retail or fashion industry.
- Communication Skills.
- The HR Trainee requires good verbal and written communication skills to effectively execute their duties and to facilitate smooth and effective communication with employees.
- Interpersonal Skills.
- Helpful and service-oriented, have an ability to work under pressure and be able to be discreet when dealing with confidential information.
- Must also be self-motivated, proactive going beyond the call of duty and result oriented.
- The HR Trainee must be likeable and relatable with an ability to form connections with others.
- Proficient MS Office in MS Word, MS Excel, and PowerPoint, which are all necessary to create visually and verbally relevant required materials and reports.
- Ability to manage data and handle with confidentiality.
- Good organizational and time management skills.
- Maintains adequate knowledge of UAE Labour Law related to day-to-day management of employees.
- Knowledge of Human Resources processes and practices.
