About the opportunity

Role Summary:

We’re looking for an On-site Admin for our stores operations to join the team and focus on growing our own Grocery Store “tMart”, which is the  region’s first cloud store concept offering 30-minute delivery of groceries at hypermarket prices. The service has  expanded rapidly across Kuwait, UAE, Qatar, Jordan, Bahrain, Egypt, Oman and Iraq!

What’s On Your Plate?

  • Help Operations Manager overseeing the full operations end to end (inventory management, pick-pack process, property/asset management, operational standards, expense control, maintenance related).
  • Inventory management: Report if stores are following the correct processes, policies and proper execution of inventory management (stock-in and stock-out). Shrink/Expiry control and Quality focus (in terms of inventory no damaged or poor fresh food quality; close to expiry).
  • Pick-Pack process: Monitor the efficiency and execution of correct pick and pack process and service level (starting with ensuring availability, picking up the correct item/quantity at the correct price) & support proper management of the staffing and scheduling as per demand to achieve desired UTR and service level.
  • Helping in Expense Control: Identify potential opportunities to reduce expenses with the same operational efficiency.
  • Support Productivity, work standards, and development of store staff.
  • Helping in Monitoring the store costs VS budget for the section.
  • Ensuring continuous improvement of current performance VS accepted standard/best practices at the store (i.e. stock level, productivity, service level).
  • Supporting in Controlling and ensuring that equipment, infrastructure, etc. in stores are used and maintained properly.
  • Supporting in Developing action plans with the department manager to address weak areas in need of improvement.
  • Instituting training and developmental programs for staff and monitoring effective implementation.
  • Ensuring proper implementation of merchandising and space planning guidelines in stores.
  • Observe during visiting the stores and report to the Ops Manager any wrong practices.
  • Ensuring and reviewing BioTime and Rooster uploads and attendance.
  • Helping in Reporting and deep-diving observation for any highlighted obstacles by the Operations Manager.
  • Reviewing and checking Pelican new updates and conditions.
  • Support and report Cycle counts compliance and the adjustments.
  • Following up on Financial documents ( TCNs & Invoices) compliance.
  • Food Safety Checklist and withdrawal SOPs.
  • Support and follow up for Returns & Reserved Stocks.
  • Location Based Inventory compliance and SOPs
  • Helping in Deep-Dive and the Root cause behind the stocktakes results
  • Helping in Taking care of the city in the absence of the Ops Manager.
  • Helping in Reviewing the performance and the probation periods approval.
  • Helping in Reviewing 3PL pickers invoices versus actual.
  • Helping in Close monitoring for PIP performance and reporting to the Ops Manager.
  • Reviewing BFH , PIC & OHC for his area.

What Did We Order?

  • You have at least 3+ years of experience within the grocery operations field
  • Obtaining a UAE driving license is a must
  • You are very detail-oriented, structured and know how to prioritize — you consider yourself as someone  who delivers solutions and not bottlenecks to be solved.
  • You are able to interact with senior-level executives and can manage the expectations of multiple stakeholders.
  • You are someone energized by the unknown and look forward to learning each day on the job.
  • You have excellent analytical and communication skills, and always like to be hands-on with several tools.
  • You are a people’s person, and have the ability to communicate to general staff
